What Key Management Involves

Key management covers the full lifecycle of a property’s keys, from receipt to return including:
Secure storage - keeping keys in a locked, monitored system (key cabinet, coded safe, or digital key management unit).
Accurate logging - recording every key movement, including who took it, when, and for what purpose.
Controlled access - ensuring only authorised staff, contractors, or partners can sign out keys.
Key identification - labelling keys in a way that is clear internally but does not reveal property addresses if lost.
Tracking and auditing - maintaining a full audit trail to show where keys are at any time.
Replacement and duplication control - managing new keys, spares, and landlord authorisation for copies.
End‑of‑tenancy processes - collecting keys from tenants, checking sets, and returning them to landlords or storing them for future lets.


➕ Adding a Key

To add a new key:

  1. Click the Tab for Keys in the left menu or property.

  2. Click the New button on the Key List screen.

  3. Complete the Key Details

🔧 Key Details

  • Property - Select the property the key belongs to. (If on the property, this inserts automatically)

  • Reference / Peg - This indicates the key’s location in your key cabinet. If multiple key sets exist for a property, ensure each reference is unique. Note: Acquaint auto-generates a reference using the property ID, but you can edit it manually.

  • Status - Choose from these options:

    • Available – Key is in the office and ready to use

    • Signed Out – Key has been taken by a contact

    • Lost – Key is missing

    • Archived – Key is no longer in use or has been returned to the owner

  • Notes: Add relevant free-form notes for internal reference.
