Adding a Certificate

Adding Certificates to Properties or Contacts

Depending on the purpose of the certificate, you can add it to a Property or a Contact using the Certificates icon or directly from the Certificate List screen.

For example:

  • 🏠 Gas Safety Certificate – should be added to a Property

  • 👤 Proof of ID – should be added to a Contact


How to Add a Certificate

  1. Locate the record – Find the relevant Contact, Property, or navigate to the Certificate List screen.

  2. Open the Action Menu – Click the Action Menu, then select Certificate.

  3. Choose Certificate Type – In the Type field, select the appropriate Certificate Type from the lookup table provided.

  4. Assign Ownership – Specify the associated Property and Contact/Owner.

  5. Select Issuer – Choose the Issuer (i.e. the contractor responsible for the work).

  6. (Optional) Add a Reference – Include any relevant Reference details for internal tracking.

  7. Set Dates – Enter the Start and Expiry Dates for the certificate.

  8. Confirm Status – The Status field will default to Current, but you can adjust it if needed.

Certificate Statuses Explained

Each certificate can be assigned one of the following statuses:

  • Current – Active and valid

  • Expired – The certificate has passed its expiry date

  • Ordered – Renewal has been initiated

  • Archived – Inactive and no longer in use
